Receptionist

Reception Duties:

Manage switchboard and direct calls effectively to various contacts/departments

Manage phone completely and should there be any faults report accordingly, including arranging maintenance and repairs

Take messages where necessary and skype or email to relevant staff / department

Check answer phone daily for messages

Check SWB radio weekly or in case of power failure and notify technical department of any issues

Check telephone lines, displays, pastel, SCW website, daily for faults or issues and should there be any report it to Marelize

Ensure reception area is clean and tidy at all times, including displays.  
If not, arrange cleaner.

Admin Duties:

Assist with typing of documentation where needed

Research all Generic database contacts on Google replace with correct information

Assist with filing and any other minor admin jobs as needed

Marketing Assistant

Admin Duties:

Check emails regularly for new web enquiries and faxes and distribute to relevant staff / departments

Forward every Monday a weekly call report (total incoming calls and total missed call from previous day) from the previous week to Marelize

Forward daily sales calls report to sales team leader

Forward monthly staff calls reports and clock-in report to finance

Update Hi-Path program with new regularly contacted telephone numbers and supplier names

Open and distribute SCW mail to relevant staff / departments

Keep a record of all new magazines delivered and ensure it is circulated to the relevant staff

Update contact list with new staff members and distribute accordingly

Assist with typing of documentation where needed

Order cleaning products monthly

Marketing Assistance:

Database

Update/Add all daily cash transactions (COD) on Access

Generate a monthly report of all cash transactions by the 2nd of each month, once data has been sorted and duplicates removed, forward what’s left to Marelize to import in DMS

Export a list of 3 months’ worth of cash transactions to excel, once data has been sorted, generate a potential dealer list and forward to sales team leader

Ensure data is daily completed and updated in the web enquiries list

Generate a monthly web enquiry report ready for Marelize to import in DMS

Produce a every Wednesday a Weekly web enquiries report for Marelize’s marketing meeting

 Social Media

Post a YouTube video clip every Tuesday on Facebook, LinkedIn & SCW Website

Post Mailshot material every Thursday on Facebook, LinkedIn & Website

 Website

Update the latest news section every week with mailshot material

Workshops, SCW Events & Training Academy

To assist with all arrangements

Prepare workshop packs and manuals

Prepare marketing packs for every training date

 Web Enquiries

Check frequently for any new incoming web enquiries and forward to relevant staff to action

Follow up with staff to ensure every single enquiry is dealt with within an hour

Copy details of each new enquiry on the Web Enquiries Spreadsheet

All web enquiries to be kept updated daily  

Specs

Collecting or Creating all new product specs

Ensuring specs are saved in all the corrected places

Add all new specs if relevant on the website along with high quality photographs

Ensure Spec files are continuously up to date

Design Work

Assist marketing with any design work accordingly and to specifications

Design work will include advert graphics, mailshots, stickers, etc.

Staff Development

Announce staff birthdays via skype

Create new email signatures for all new staff members

General Marketing Assistance

Prepare marketing packs for sales department

Fill brochure stands with marketing material

Assistance will occasionally be required for the following marketing activities;

Mailshots

Media

Social Media

Brand Development Campaigns

Corporate Identity Research

Marketing Reports

HR Assistance:

Keep the Daily Leave Spreadsheet updated

Submit completed and updated Daily Leave File to HR

Ensure all leave forms are collected, signed and submitted weekly

Holiday Cover:

Supply cover at cash desk during lunchtimes and holidays

 
Candidate Requirements

 

 

 

 

 

 

Matric

Relevant tertiary qualification will be an advantage

Computer Literacy ( MS Office Packages)

The candidate must have a good understanding of Photoshop or something similar for design work please.
